Privacy Policy

This policy explains what information Tacoma Water Damage Help receives, how it is used to connect a visitor with an independent service provider, and the choices available to visitors.

Scope and our role

This policy applies to waterdamagetacoma.com, its contact forms, and telephone numbers presented as part of this referral service. Tacoma Water Damage Help helps a visitor request contact from an available independent water-damage service provider. Unless a provider is expressly identified on the page, the Site is not the restoration contractor and does not itself inspect, dispatch, extract water, perform repairs, determine insurance coverage, or provide emergency services.

A referred company has its own privacy practices for information it receives and for any later inspection, estimate, contract, payment, claim, or service relationship. Ask that company for its privacy notice if you want to understand its practices.

Information we collect

When you submit a service request, we collect the information you choose to provide, such as your name, phone number, email address, service address or ZIP code, property type, incident description, timing, access details, and preferred contact method. If you call, we may collect the calling number, call time, routing and connection data, provider assignment, disposition notes, and—only after the required notice and consent—a recording or transcript.

The Site and its hosting or security infrastructure may also receive ordinary technical data such as IP address, browser and device type, referring page, requested pages, timestamps, approximate location derived from IP address, error logs, and security or spam signals. Vercel Web Analytics and Speed Insights are used for aggregate page-use and performance measurement. Form fields such as name, phone number, ZIP code, and message are not intentionally sent to those analytics tools.

  • Do not send Social Security numbers, government ID numbers, payment-card details, bank information, insurance login credentials, medical information, or unrelated confidential documents.
  • If a provider or insurer needs sensitive claim or payment information, transmit it using the method that organization instructs you to use—not the Site's general lead form.

How we use information

We use request information to understand the service need, route or introduce the request to a potentially available provider, support the requested connection, respond to questions, prevent fraud and spam, troubleshoot the Site and call flow, keep operational records, evaluate lead and connection quality, enforce our terms, and comply with law.

Providing a phone number or email address authorizes responsive communications about the specific request. It does not by itself enroll you in newsletters, unrelated promotions, or recurring marketing. Separate, optional consent would be required before adding those uses.

Lead sharing and independent providers

To perform the referral you request, we may share your contact information, property location, incident details, and communications with one or more independent restoration companies that may be able to respond. We may also disclose information to vendors that operate hosting, forms, spam filtering, call routing, customer-relationship management, communications, storage, security, and analytics on our behalf, subject to appropriate service arrangements.

We do not sell personal information for money or share it with unrelated companies for their own advertising or marketing by default. The requested transfer of a lead to an independent service provider is the core purpose of this Site and is disclosed at the form. If the business later adopts data uses that may be treated as a sale, targeted advertising, or cross-context behavioral advertising under applicable law, this policy and the available opt-out controls must be updated before that use begins.

We may also disclose information when reasonably necessary to comply with law or legal process, protect users or the public, investigate fraud or security incidents, enforce agreements, or complete a merger, financing, sale, or transfer of the Site, with the recipient subject to this policy or notice of changed practices as required by law.

Cookies, analytics, and call attribution

The Site uses Vercel Web Analytics and Speed Insights for aggregate traffic and performance measurement. Google Analytics 4 loads only when a production measurement ID is configured. Advertising pixels and session replay are not enabled. The policy must be updated before materially different analytics or advertising tools are introduced.

When CallRail is configured, its dynamic-number-insertion script may replace the visible business number with a source-specific tracking number and store attribution in a cookie. The Site also keeps standard UTM fields, the first site pathname and timestamp, and the external referring hostname in session storage for the current tab so a submitted request can be attributed without storing full referring URLs or form details in analytics.

Call recording

Washington law generally requires consent from all participants before a private telephone call or conversation is recorded, subject to statutory exceptions. If recording is enabled, every participant is given an audible notice in a reasonably effective manner, and that announcement is included in the recording. A privacy-policy sentence alone is not used as a substitute for the in-call announcement.

If you do not consent to recording, do not continue on the recorded line; use the web form or request a non-recorded method when available. The Site operator must keep recording disabled until its caller, transfer, conference, voicemail, and receiving-provider flows have been tested so that every participant receives the notice.

Retention

We keep personal information only for as long as reasonably necessary to complete and document the requested referral, maintain business and tax records, evaluate disputes or lead validity, prevent abuse, enforce agreements, and meet legal obligations. Different records may require different periods, and a referred provider keeps its copy under its own policy.

The final lead-record and call-record retention periods have not yet been selected because the production CRM and call-routing vendors are not configured. Lead forms and call recording should remain disabled until the operator sets, enforces, and publishes those periods. Once configured, this section should state the ordinary period or the criteria used to determine it, along with any narrower backup-deletion schedule.

Your choices and requests

You may ask us to stop contacting you, correct request details, or delete information we control, subject to records we must retain for legal, security, fraud-prevention, accounting, or dispute purposes. Contact the referred provider separately about information it controls. We will verify a request in a manner proportionate to the information involved and respond as required by applicable law.

Browser controls can limit cookies, although blocking essential storage may affect form operation. Marketing email and automated marketing text programs are off by default. If either is introduced, each message must include the legally required opt-out method, and opting out of marketing must not prevent communications needed to complete a service request you initiated.

Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information and services involved. No website, transmission, telephone system, or storage platform can be guaranteed completely secure. Limit form submissions to information needed for the referral and contact us promptly if you believe information was submitted or accessed improperly.

Children

The Site is intended for adults requesting property services and is not directed to children under 13. We do not knowingly seek personal information from children. A parent or guardian who believes a child submitted information may contact us to request review and deletion.

External sites and providers

The Site links to government, utility, emergency-preparedness, and third-party service pages for convenience. Their privacy and security practices are governed by their own notices. A link is not an endorsement, affiliation, or statement that a public agency will perform private restoration work.

Changes and contact

We may update this policy as the referral operation, vendors, or legal requirements change. The displayed last-updated date should change whenever material terms change, and additional notice will be provided when required by law.

The legal operator's name, privacy email, and mailing contact are not yet configured. Those fields must be completed before lead collection is enabled. Until then, operational questions may be submitted through the Site's About & Contact page without including sensitive personal information.
